The following AGM purposes are:

1. Call to Order and Welcome
2. Adoption of Agenda
3. Approval of September 16th, 2025 AGM minutes
4. Motion to ratify the actions of the directors and offi cers during the 2025/2026 fiscal year
5. Executive Director’s Report
6. Treasurer’s Report:
i. Consideration of Financial Statements
ii. Appointment of Auditor
7. Election of Board Members
8. Motion to Adjourn

Voting Requirements

To be eligible to vote at the Annual General Meeting, you must own or lease a class “5” or class “6” property within the East Village BIA boundaries for six months prior to the date of registration, or have signed a lease for an unexpired term of no less than 6 months. You must complete and return
the accompanying registration form to the BIA Office email or mail no later than September 15, 2026 before 4:30pm.

If you are eligible to vote but cannot be present in person, you may appoint a representative to act on your behalf. If this is the case, please complete and return the attached representative form by email or mail.

All business owners and property owners within the Hastings North Business Improvement Area are invited to attend the Annual General Meeting of the Hastings North BIA. A business or property owner has the right to appoint a representative who is affiliated with their business to attend and vote at the AGM on their behalf. The boundaries of the area are Boundary Road, East Hastings Street, Clark Drive, East Pender Street, Powell Street, Semlin Drive, Victoria Drive, and Turner Street. All business and property owners within these boundaries are members of the BIA and are eligible to attend.
